Import Contacts

Meetzy allows you to import contacts in bulk from Excel files (.xlsx, .xls, .xlsm) or directly from Google Sheets. This enables you to quickly populate your contact database for campaigns.

Import Wizard

The import process follows three steps:

Choose your source file or spreadsheet.

Map columns and set import options.

Import

Process contacts and view results.

Excel Import

Uploading a File

  1. Navigate to CRMImport Contacts
  2. Select Import from Excel
  3. Drag and drop your file or click to browse
  4. Supported formats: .xlsx, .xls, .xlsm
  5. Maximum file size: 10MB
Drag and drop works directly on the upload zone. The border turns green when a valid file is detected.

File Validation

Once uploaded, the system analyzes your file:

Rows without phone numbers will be skipped during import. Ensure your phone column is properly formatted.

Google Sheets Import

Connecting Google Sheets

If not connected:
  1. Click Connect Google Sheets
  2. Authorize with your Google account
  3. Grant access to your spreadsheets

Selecting a Spreadsheet

  1. Browse your available spreadsheets
  2. Use the search bar to find specific files
  3. Click on a spreadsheet to select it
  4. The system validates the sheet structure

Column Mapping

Mapping Columns

  1. For each field, select the corresponding column from your file
  2. Preview data updates in real-time
  3. Highlighted columns indicate mapped fields

Custom Fields

Add additional columns as custom fields:
  1. View available unmapped columns
  2. Click on a column name to include it
  3. Custom fields are stored with the contact
  4. Use them in agent prompts with input parameters
Columns already mapped to standard fields (Phone, Name, Email) cannot be added as custom fields.

Data Preview

Before importing, review your data:
  • First rows are displayed in a preview table
  • Mapped columns are highlighted in green
  • Verify data looks correct before proceeding

Sheet Selection

If your file contains multiple sheets:
  1. A dropdown appears to select the sheet
  2. Choose the sheet containing your contacts
  3. Mapping updates based on the selected sheet’s columns

Segment Assignment

All imported contacts are automatically added to a segment:
  1. Enter a Segment Name
  2. This creates a new segment with your imports
  3. Use segments for targeted campaigns
Use descriptive segment names like “February 2024 Leads” or “Real Estate Prospects” for easy identification.

Admin Features

For admin users:

Company Selection

  1. A company selector appears at the top
  2. Search for a company by name
  3. Select to import contacts to that company
  4. “My Account” imports to your own account

Import Process

Once configuration is complete:
  1. Click Start Import
  2. A progress circle shows completion percentage
  3. Live stats display:
    • New contacts created
    • Existing contacts updated
    • Rows skipped

Import Duration

Processing time depends on:
  • Number of rows
  • Network speed
  • Server load
Large imports (10,000+ rows) may take several minutes.

Import Report

After completion, you’ll see:

Error Details

If errors occurred:
  • View the errors table
  • Each row shows: Row number, Phone, Error message
  • Common errors: Invalid phone format, missing required data

Quick Actions

  • View Segment - Go to the created segment
  • Import More - Start a new import
  • View All Contacts - Browse your CRM

Best Practices

Clean Data First

Remove duplicates and format phone numbers before importing.

Use Headers

Ensure your first row contains column headers for accurate mapping.

Phone Format

Include country codes (e.g., +1 for US, +34 for Spain).

Test Small

Test with a small batch first to verify mapping works correctly.
